This Privacy Policy describes how ClaimNarrative (“we,” “us,” or “our”) collects, uses, and protects information when you use our website at claimnarrative.com and the ClaimNarrative claim documentation service (“Service”).

ClaimNarrative is operated by Sunil Kaimootil as a sole proprietorship doing business as ClaimNarrative, with a business address at 3325 Piedmont Rd NE Unit 2507, Atlanta, GA 30305, United States.

1. Information We Collect

1.1 Information You Provide Directly

We collect information you provide when you:

• Create an account (name, email address, password — handled by our authentication provider, Clerk)
• Submit claim documentation inputs (carrier name, property type, loss type, field notes, photo summaries, Xactimate estimate summaries, and related claim file information)
• Contact us for support or sales inquiries
• Sign service agreements or pay for implementations
• Upload reference files (past claim files) to train carrier-specific style — files are processed to extract style patterns; patterns are stored, original files are retained for re-extraction
• Upload Xactimate PDFs, field notes documents (txt, md, pdf, docx), and inspection photos — these are processed via AI to extract data and generate summaries; uploaded files are processed in memory and not persistently stored beyond the generation session

1.2 Information Collected Automatically

When you visit our website or use the Service, we automatically collect:

• IP address and approximate geographic location
• Browser type and version
• Operating system
• Pages visited and timestamps
• Referring URLs
• Session duration

This is collected via standard server logs and Vercel’s hosting analytics.

1.3 Cookies

We use cookies and similar technologies for:

• Authentication (Clerk session cookies — required for the Service to function)
• Security (preventing CSRF attacks and session hijacking)

We do not use cookies for advertising or third-party tracking.

1.4 AI-Generated Content

All claim documentation, RFI responses, and analysis generated through the Service are stored under your account history. You can delete this content at any time via the My Claims interface.

2. How We Use Your Information

We use collected information to:

• Provide and operate the Service
• Authenticate your access to your account
• Generate claim documentation based on your inputs
• Communicate with you about your account, the Service, or sales inquiries
• Improve the Service through aggregate usage analysis
• Comply with legal obligations

We do NOT:

• Sell your personal information to third parties
• Use your claim file inputs to train AI models
• Share your data with carriers, insurers, or other third parties without your explicit consent
• Use your information for advertising

3. How We Share Your Information

We share information only with the following parties, and only as necessary to operate the Service:

3.1 Service Providers

• Anthropic (Claude API) — Your claim documentation inputs are sent to Anthropic’s Claude API to generate output. Anthropic processes this data under their Commercial Terms of Service and does not train models on Claude API inputs (see Anthropic’s data handling policies at anthropic.com)
• Clerk — Authentication and user management
• Vercel — Hosting and infrastructure
• Stripe (when payment is processed) — Payment processing only

Each of these providers has their own privacy policy and is contractually obligated to handle your data securely.

3.2 Legal Requirements

We may disclose information if required by law, subpoena, court order, or to protect our rights, property, or safety.

3.3 Business Transfers

If ClaimNarrative is sold or merged, your information may be transferred to the successor entity. You will be notified of any such change.

4. Data Retention

We retain your information for as long as your account is active or as needed to provide the Service. You may request deletion of your account and associated data at any time by emailing support@claimnarrative.com.

Claim documentation inputs are retained only as long as necessary to provide the Service. Aggregate usage statistics (with personal identifiers removed) may be retained longer for service improvement.

5. Data Security

We implement reasonable technical and organizational security measures to protect your information, including:

• HTTPS encryption for all data in transit
• Encrypted storage for authentication credentials (via Clerk)
• Access controls limiting who can view your data
• Regular security reviews

Despite these measures, no system is completely secure. We cannot guarantee absolute security of your data.

6. Your Rights

Depending on your location, you may have the following rights:

ClaimNarrative is operated from the United States. If you access the Service from outside the U.S., your information will be transferred to and processed in the U.S.

9. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. Material changes will be communicated via email (if you have an account) or a notice on the website. The “Last Updated” date at the top reflects the most recent revision.
